Billing run

The billing run is the actual operation: fetch the time entries, assign them, price them and create one invoice draft per customer. It deliberately stops before posting – the final look stays with a person.

What is this for?

  • Bill a period without missing or duplicating entries.
  • Produce exactly one invoice per customer.
  • Keep the run traceable and repeatable if needed.

Billing run

How to set it up

  1. Choose the period and start the run.
  2. The entries are read from Toggl and assigned to the business partner through the external reference.
  3. The user mapping determines the employee, the activity mapping the item.
  4. The time is rounded and priced with the rate from Toggl.
  5. One parked outgoing invoice is created per customer. Document number and entry are noted in the journal.
  6. You review the draft in SAP, complete it where needed and post it yourself.
  7. Time already billed is marked as such in the journal and is not picked up again in the next run.
